Information We Collect
We only collect the personal information described below, and only through the specific features of the site listed here. We do not currently offer online appointment booking, so no scheduling or appointment data is collected through the website itself — all appointments are booked by phone.
Contact form. The “Send a message” form on our About page collects your name, email address, and message. When you submit it, that information is sent directly to our business email inbox and is not saved in any database on our site — it exists only as an outgoing email to us, with your email address set as the reply-to address so we can respond to you. The form is protected by standard anti-spam safeguards (a security token and a hidden field) to prevent automated submissions.
Orders and accounts. When you place an order through our online shop, our store platform (WooCommerce) collects and stores the information needed to fulfill it: your name, billing address, shipping address, and email address. A phone number may be requested at checkout but is currently optional, not required. This information, along with your order and purchase history, is stored in our website’s own database. Creating a customer account is optional — you may check out as a guest, or create an account to view your order history more easily.
Payment information. Online orders are paid for through Square, a third-party payment processor, using the official Square plugin for WooCommerce. Depending on what you choose at checkout, this may include credit and debit cards, digital wallets such as Apple Pay and Google Pay, Cash App Pay, or a Square gift card. When you pay online, your payment details are sent directly to and processed by Square — we do not collect or store your full card number on our own servers. If you choose in-store Pickup, you may instead pay in person at the salon (“Cash on Pickup”). Delivery orders must be paid online through Square.
The Marcel chat assistant. Our site includes a chat widget named Marcel. In its default mode, Marcel answers using pre-written question-and-answer buttons, and no information you click ever leaves your browser. We also have an optional AI-assisted free-text mode that we can turn on or off from our site settings; it is off by default. If and when we turn it on, your typed message and a short window of recent messages in that conversation are sent to a third-party AI service we configure in order to generate a reply. Our connection key for that service is stored only on our server and is never exposed to your browser.
Cookies and sessions. Like most websites, we use a small number of cookies needed for the site to function — for example, a login cookie if you create an account or if a staff member logs into the site, and shopping-cart and session cookies that let items stay in your cart as you browse. These are described in more detail in the “Cookies” section below.
Analytics. Our site’s theme has built-in support for website analytics tools (Google Analytics and PostHog), each of which we can independently turn on or off from our site settings. When enabled, these tools collect standard usage information such as pages viewed and general visit statistics. Because this is a setting we control and may change, please treat this policy as describing our capability to use analytics tools rather than a guarantee that a specific tool is active at any given moment.
Fonts and other embedded resources. Our site loads its typefaces directly from Google’s font service. As with the vast majority of websites that use this common service, this causes your browser to make a direct, standard request to Google, which can see your device’s IP address as part of that request.
How We Use Your Information
We use the personal information described above to:
- Process, fulfill, and ship your orders, and communicate with you about them
- Respond to messages sent through our contact form or by phone
- Operate the Marcel chat assistant, including generating a reply when AI-assisted mode is turned on
- Maintain your shopping cart and, if you choose to create one, your customer account
- Maintain the security and normal technical operation of our website
- Meet our own recordkeeping, accounting, and legal or tax obligations
- Send you marketing communications, but only if we have enabled a marketing tool for that purpose and only in accordance with your preferences and applicable law
How We Share Your Information
We do not sell your personal information. The Olympia Salon does not sell, rent, or trade customer or visitor personal information to third parties, and we never have. Any sharing of information described in this section is solely to operate our website, fulfill your orders, and run our business — never in exchange for money or other value from a third party.
We do work with a number of service providers and plugins that may process certain information on our behalf, strictly to help us run this website and our shop. Depending on which of these are actively connected at any given time, they may have access to limited personal information as described below:
- WooCommerce — the e-commerce platform that powers our online shop and stores order, account, and purchase information in our own website database.
- WooCommerce Shipping & Services — used to generate shipping labels and rates through WooCommerce’s shipping partners and carriers; when we ship an order, this can share that order’s shipping address with the carrier delivering it.
- Square (online payment processor) — processes online payments made at checkout, including cards, digital wallets, Cash App Pay, and Square gift cards, through the official Square plugin for WooCommerce. Payment details you enter at checkout go directly to Square, not to us.
- Pinterest for WooCommerce — actively connected and currently capable of sharing visitor and conversion information with Pinterest in connection with our advertising on that platform.
- Reddit for WooCommerce and Snapchat for WooCommerce — installed with an advertising pixel enabled, but account setup with Reddit and Snapchat is not yet complete, so neither is currently connected to a live advertising account.
- Google Listings & Ads — installed but not currently connected to a Google Merchant Center account, so it is not currently sharing product or visitor information with Google.
- Klaviyo — installed for potential future email marketing (such as a newsletter), but not yet connected to an account and not currently sending any visitor information anywhere.
- Jetpack — installed to provide optional site security and statistics features through Automattic/WordPress.com; not currently linked to a live WordPress.com account on our site.
- Our AI-assisted chat provider — only when we have turned on Marcel’s AI-assisted mode, your typed chat messages are sent to our configured third-party AI service solely to generate a reply.
We may also disclose information when required to do so by law, such as in response to a subpoena, court order, or other valid legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, to investigate fraud, or to comply with a legal or regulatory obligation. If our business is ever sold, merged, or transferred, customer information may be transferred as part of that transaction, subject to the same protections described in this policy.
Cookies
The cookies used on this site are, at their core, functional and necessary rather than advertising or tracking cookies: they keep you logged in if you have an account, let an administrator log into the site, and let your shopping cart remember its contents as you move between pages. Some of the advertising and analytics tools described above may also set their own cookies when they are actively connected. You can control or delete cookies at any time through your web browser’s settings; please note that blocking necessary cookies (such as cart cookies) may prevent parts of the site, like checkout, from working properly.
Data Retention
We keep order and account information for as long as reasonably necessary to fulfill the purposes described in this policy, including ongoing business operations and legal, accounting, and tax recordkeeping requirements. Messages submitted through our contact form are not stored in our website’s database at all — they exist only as an email sent to our own inbox, which we retain or delete like any other business email.
Your Choices and Rights
You can contact us at any time to ask what personal information we hold about you, to request that we correct inaccurate information, or to request that we delete your personal information, subject to any records we are required to keep for legal, accounting, or tax purposes. You can also opt out of any marketing communications we send at any time, either by using the unsubscribe link in the message or by contacting us directly. We are based in Tennessee. This website is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete it.
